Onboarding New Hires: The IT Checklist Every HR Team Needs

The Cost of a Bad First Day
A new hire shows up. Their laptop is not ready. Their email account does not exist. They spend the morning watching onboarding videos on their phone. By day three, they are wondering if they made the right choice.
Before Day One
- Laptop provisioned. Imaged, updated, and ready. Asset tag applied. Registry updated with serial number and assigned user.
- Accounts created. Email, Slack, VPN, and any role-specific tools. Passwords shared securely — never in plaintext.
- Access requested. Git repos, CRM, dashboards, file shares. All routed through the helpdesk so nothing is forgotten.
Day One
- Desk ready. Chair, monitor, keyboard, mouse, power strip. The basics matter.
- Welcome session. 30 minutes with IT to cover security policies, password managers, and who to contact for what.
- Ticket raised. Every onboarding request becomes a ticket. HR can track progress without calling IT every two hours.
First Week
- Check-in. Day three, IT asks: "Is everything working?" A quick survey prevents small issues from becoming big frustrations.
- Training scheduled. Tool-specific sessions for complex software. Recorded for reference.
Offboarding Mirror
When someone leaves, reverse the checklist. Revoke access. Collect hardware. Wipe devices. Update the asset registry. Document everything. A clean offboarding is as important as a smooth onboarding — especially for compliance.
