IT Onboarding Checklist
Everything a new hire needs on day one — laptop provisioning, account creation, access requests, and security training.
Before Day One (3-5 Business Days Before Start)
- Raise a helpdesk ticket for new hire onboarding with HR name, start date, department, and role.
- Provision laptop — image with standard OS, install required software, apply security policies.
- Create email account and calendar with proper display name and signature.
- Create accounts for essential tools: Slack/Teams, project management, HRMS, and role-specific SaaS platforms.
- Order and configure peripherals: monitor, keyboard, mouse, headset, and docking station.
- Assign office desk / seat location and ensure network port or Wi-Fi access is ready.
- Prepare asset tag and assign the laptop, monitor, and peripherals in the asset registry.
Day One — Morning
- Escort the new hire to their desk and verify all equipment is working.
- Walk through the login process — laptop password, email, Slack, and helpdesk portal.
- Provide a welcome document with IT policies, password manager setup, and emergency contacts.
- Schedule a 30-minute IT orientation session covering security awareness, acceptable use policy, and reporting channels.
- Verify access to all required shared drives, file shares, and repositories.
Day One — Afternoon
- Configure role-specific software: IDE, design tools, CRM, analytics, or accounting software.
- Grant access to internal wikis, knowledge base, and documentation repositories.
- Set up email signatures, calendar sharing, and mailbox rules.
- Add the new hire to relevant distribution lists, Slack channels, and team calendars.
- Demonstrate how to raise an IT support ticket and access the self-service knowledge base.
First Week
- Schedule a day-3 check-in call: "Is everything working? Any issues we missed?"
- Conduct tool-specific training for complex software used by the team.
- Review and adjust permissions based on actual usage patterns.
- Verify the new hire has completed mandatory security awareness training.
- Close the onboarding ticket with a summary of actions taken and asset assignment confirmation.
First Month
- Review the new hire's access list — remove any granted-but-unused permissions.
- Conduct a satisfaction survey on the onboarding experience.
- Schedule 1:1 feedback session with IT and HR to identify process improvements.
