IT Skills Matrix Template

A template for mapping IT team member skills, identifying gaps, and planning professional development and training.

What Is an IT Skills Matrix?

An IT skills matrix maps the capabilities of your IT team against the skills needed to support your technology stack and business objectives. It answers: what skills does our team currently have, what skills are missing or weak, and what is our training and hiring plan to close the gaps? For small IT teams where every member wears multiple hats, a skills matrix ensures critical knowledge areas are never left to a single person.

Matrix Structure

Create a table with team members as rows and skill categories as columns. Rate each person's proficiency in each skill:

  • 1 — Novice: Needs guidance and supervision. Cannot work independently.
  • 2 — Practitioner: Can handle standard tasks independently. Needs help with complex issues.
  • 3 — Competent: Handles most situations independently. Capable of training others on routine tasks.
  • 4 — Expert: Handles all situations independently. Can train others, create documentation, and lead complex projects.
  • 5 — Thought Leader: Industry-recognised expertise. Defines standards and best practices for the team.

Skill Categories

Technical Skills: Operating systems (Windows, macOS, Linux), networking (routing, switching, firewall, VPN), cloud platforms (AWS, Azure, GCP — specify services), databases (SQL, NoSQL, administration), security (vulnerability assessment, incident response, compliance), hardware (laptop/desktop repair, server maintenance, printer support), and software (SaaS administration, enterprise applications, scripting/automation).

Soft Skills: Customer service and communication, problem-solving and analytical thinking, documentation and knowledge management, project management, time management and prioritisation, and team collaboration and knowledge sharing.

Gap Analysis

For each skill category, define the target proficiency level needed for your team. Compare current actual levels against targets. Prioritise gaps that are: critical for daily operations (single point of failure — only one person can do X), important for upcoming projects (new tool rollout, cloud migration), or required for compliance (security certifications, audit readiness).

Review Schedule

Update the skills matrix quarterly to reflect new team members, completed training, and changing skill requirements. Conduct a comprehensive review annually aligned with the performance review cycle. The skills matrix should drive both individual development plans and team hiring decisions.
