Why a Laptop Policy Matters

Key Sections of the Policy

  • Issuance & Acknowledgment: How employees receive laptops. What is included (charger, bag, accessories). What the acknowledgment form covers.
  • Acceptable Use: Company laptops are for work purposes. Personal use guidelines. Prohibited activities (gambling, illegal content, unauthorised software).
  • Security Requirements: Password policies, screen lock, full-disk encryption, VPN usage, prohibited networks (public WiFi without VPN).
  • Physical Care: Transportation guidelines, cleaning, storage, temperature limits. Who pays for damage caused by negligence.
  • Return Procedure: When to return (resignation, termination, role change). Data backup before return. Inspection process. Timeline.

BYOD Considerations

If you allow personal laptops for work (BYOD), add a separate section covering: minimum security requirements (OS version, encryption, antivirus), company's right to remote-wipe work data, data separation requirements, support scope (what IT will and will not fix on personal devices), and exit procedure (remove company data, retain personal data).

Can I use my personal laptop for work?

If your company has a BYOD policy, yes — provided your laptop meets the minimum security requirements (encryption, antivirus, OS version). If there is no BYOD policy, use the company-issued laptop only.

What happens if I damage my company laptop?

If the damage is accidental and not due to negligence, the company covers repair. If the damage is due to negligence (spilling coffee, dropping it, leaving it in extreme heat), the employee may be liable for repair or replacement costs as defined in the policy.
