Preventive Maintenance Schedule

Calendar-based schedule for IT infrastructure maintenance with owner assignments.

Purpose

A preventive maintenance schedule reduces unplanned downtime by catching issues before they cause failures. This schedule covers the most common IT infrastructure components and assigns clear ownership for each task.

Daily Tasks

  • Check server room temperature and humidity (target: 22°C ± 2°C, humidity 40-60%).
  • Verify UPS status — online mode, battery charge, load percentage.
  • Review backup completion status from the previous night.
  • Quick visual check of critical server health indicators (LED status, error logs).

Weekly Tasks

  • Review disk space on all servers and critical workstations. Free up space if below 20%.
  • Check antivirus definition updates across all systems.
  • Verify backup integrity with a test restore of a small file set.
  • Clean keyboard, mouse, and monitor surfaces in shared workspaces.

Monthly Tasks

  • Apply OS and application security patches (test on non-critical system first).
  • Run full antivirus scan on all servers and workstations.
  • Review and archive logs from critical systems (servers, firewall, access control).
  • Check UPS battery health — run self-test if supported.
  • Verify network switch and router performance metrics (CPU, memory, bandwidth).

Quarterly Tasks

  • Deep clean server room — vacuum vents, check cable management, label unmarked cables.
  • Test backup restoration for a full system (not just files). Document recovery time.
  • Review and update disaster recovery plan with any infrastructure changes.
  • Check and tighten all network cable connections. Replace damaged cables.
  • Inspect fire extinguishers and environmental monitoring sensors in server room.

Annual Tasks

  • Full disaster recovery drill — simulate site outage and test failover.
  • Complete physical inventory audit (see IT Asset Audit Checklist).
  • Renew AMC contracts for printers, UPS, AC units, and critical infrastructure.
  • Review and update all IT policies based on lessons learned and business changes.
  • Plan budget for next year's hardware refresh and infrastructure upgrades.
