IT Asset Tagging Standards and Procedures
Why Tagging Standards Matter
Asset tagging is the physical anchor of your digital asset registry. A well-tagged asset can be identified, tracked, and audited in seconds. A poorly tagged asset — or one with no tag at all — is a gap in your tracking system. Standardised tagging ensures every asset is identifiable consistently, regardless of who applied the tag or when.
Tag Types and Recommendations
- Barcode (1D): Cost-effective (₹1-2 per tag). Requires a barcode scanner. Stores only the asset ID number. Good for organisations with dedicated scanning hardware. Lifespan: 3-5 years with standard polyester labels.
- QR Code (2D): Slightly more expensive (₹2-5 per tag). Scans with any smartphone camera. Can store a URL that opens the asset record. Best for most Indian SMEs — no special hardware needed. Lifespan: 3-5 years.
- RFID Tag: More expensive (₹15-50 per tag). Can be read without line-of-sight. Best for high-volume inventories (scan an entire cabinet of 50 assets in 5 seconds). Overkill for most SMEs under 1,000 assets.
- Metal-Capable Labels: For servers and metal surfaces where standard labels peel off. Slightly more expensive (₹5-10 per tag). Essential for server rooms and data centres.
Tag Content Standards
Each tag should contain: company name or logo (optional but helpful for identifying lost assets), asset ID (unique identifier from your registry — e.g., WRD-LT-00342 for a laptop), and QR code (encoding the asset ID plus optionally a URL to the asset record). For security, do not include: asset value, user name, or location — these belong in the digital record, not on the physical tag.
Placement Standards
- Laptops: Bottom panel, near the manufacturer's serial number label. Avoid covering vents, service panels, or screw holes.
- Desktop Towers: Front or side panel, visible without moving the unit. Avoid the top (where things are stacked) or back (hard to reach).
- Monitors: Back of the monitor, near the VESA mount or brand label. Avoid the bezel (will be peeled off) or ports area.
- Servers: Front bezel or top ear of the rack mount. Use metal-capable labels. Do not place on hot-swappable drives, power supplies, or fan modules.
- Printers: Side panel near the control panel. Avoid paper tray covers, output trays, and vent areas.
- Network Equipment: Front panel below the ports. Use small labels that do not block airflow or label ports.
- Tablets & Mobile Devices: Back panel, near the charging port. Use ultra-thin labels that do not interfere with cases.
Tag Lifecycle Management
When an asset is received and before deployment, apply the tag and register it. Inspect tags during each physical audit — replace any that are faded, scratched, peeling, or damaged. When an asset is disposed, remove and discard the tag (or leave it if the device is being physically destroyed — either is fine as long as the digital record is updated to 'Disposed'). Maintain a small inventory of spare tags for new assets.
