Why Define Damage Rules Upfront
When a laptop screen cracks or a phone is dropped, the first question is always "who pays?" Without a written policy, the answer depends on who argues louder. A clear damage policy sets fair expectations, prevents disputes, and ensures consistent treatment across the company.
Damage Categories
- Normal wear and tear: Battery degradation, keyboard wear, minor scratches. Company covers 100%.
- Accidental damage: Dropped laptop, spilled coffee, accidental screen crack. Employee pays 20-50% of repair cost based on negligence level.
- Negligent damage: Leaving laptop in hot car, using in rain without protection, removing without approval. Employee pays 50-100% of repair or replacement.
- Intentional damage: Deliberate destruction. Employee pays 100% plus faces disciplinary action.
